Book the venue first and the photographer right behind it. Two of the barns here are already selling 2027 dates and a third prints its 2027 rates, and couples at one Bernville barn describe booking a year to two years ahead. One Reading photography studio says nine to eighteen months; another won't recommend less than a year. Everything else follows in a standard order: the hotel block at nine months, the save-the-dates at six to eight, and so on down to the final head count in the last week. The marriage license comes through a video appointment with the Berks County Register of Wills, in the last eight weeks. The place to start this week is the list of event venues in Berks County.

Prices are their own post, what a Berks wedding costs, vendor by vendor, so you won't find vendor prices here. What the venues and vendors around the county say about timing, in their own words, is below; the sections below walk through it month by month.

Who What their own page or contract says about timing
Reinhart's Barn Weddings, Bernville Prints its 2027 rates; couples reviewing it describe booking a year to two years ahead
Stone Spring Farms, Hamburg Event season runs May through October
Schwenig Photography, Reading Most couples book 9 to 18 months ahead
Zerbe Photography, West Reading Recommends at least a year ahead for weddings
Fifty-Fifty Tuxedos Groomsmen and wedding-party fittings: large groups 4 to 10 months ahead; half down at the first fitting
Setter Ridge Vineyards, Kutztown (ceremonies only) Guest count confirmed 4 months ahead; rehearsal scheduled at least a month ahead
Ridgewood Winery, Birdsboro Balance due a month before the event
The Party Express DJs, Blandon Planning meeting 1.5 to 2 months before the reception
Candy & Confections, Reading Wedding cake orders preferred 4 to 6 weeks ahead
The marriage license (Berks County Register of Wills) Issued after a video appointment with the office; becomes valid on the third day after that meeting and lasts 60 days from the issue date

Each line is the business's or office's own page or contract, read in October 2026.

Eighteen to twelve months out: book the venue and the photographer.

The venue comes first because the date and the room are the two things you can't get back, and the photographer comes right behind it. Reinhart's Barn Weddings in Bernville has posted its 2027 rates, and the couples who review it describe booking a year to two years ahead.

Foxglove Farm in Oley is selling 2027 packages too, and Events at Graystone Farm in Reading prints its 2026 and 2027 rates side by side. Stone Spring Farms in Hamburg runs from May until October, so it has about six months of dates a year. Figures are in what a Berks wedding venue costs. Choosing the room is the job of our guide to Berks County wedding venues.

Photographers are the second call. Schwenig Photography in Reading says most brides book nine to eighteen months in advance.

Zerbe Photography in West Reading won't recommend less than a year. A retainer is the deposit that holds your date. Photography by McDonough in West Lawn holds a date only with a signed contract and a retainer, and it books dates first come, first served. Browse the county photographers page and read what a Berks wedding photographer costs before you sign.

Nine to six months out: the hotel block, the florist, the music, the save-the-dates and the tuxes.

From nine months down to six: the florist and the hotel block first, then the band or DJ, the save-the-dates and the tux shopping.

  • The hotel block. A room block is a set of rooms one hotel holds for your guests. It comes with a cut-off date, the day the hotel releases the rooms nobody booked. Start with hotels in Berks County.
  • The florist. At nine months, book the florist; florists in Berks County lists the shops.
  • The DJ or band. The Party Express DJs in Blandon will meet you before you book if you'd like; DJs and entertainers in Berks County lists the others.
  • The save-the-dates. A save-the-date is the card that goes out before the invitation, and it goes out six to eight months ahead.
  • The wedding party's clothes. Fifty-Fifty Tuxedos on Penn Avenue in Sinking Spring advises large wedding parties to start shopping four to ten months ahead; overall, it says timelines range from a month to a year.

Fifty-Fifty asks for at least half down at the first fitting. The balance is due at pickup. Appointments are needed only for the first visit and for a group of three or more coming in for fittings.

Six to four months out: the dress, the invitations and the first guest count.

Dressed In Love Bridal Suite in West Reading books styling appointments at least 48 hours out. When you choose a dress, the shop takes payment in full or a non-refundable deposit. Ask the shop at that appointment how long the gown order and alterations take, and count back from the wedding. Other shops are on clothing stores in Berks County.

At four months, order the invitations. Setter Ridge Vineyards in Kutztown wants your number of guests confirmed at least four months in advance, for rental purposes; the final head count the venue bills from comes in the last week.

Eight weeks out: the license appointment, the invitations in the mail and the vendor details.

You file the application with the Berks County Register of Wills online whenever you like, then the two of you meet the office on a video call. The office issues the license after that appointment; it becomes valid on the third day after the meeting and stays valid for 60 days from the issue date. So book the appointment within the eight weeks before the wedding and at least three days ahead, on a weekday. The $65 fee is paid by Visa or Mastercard at the appointment (as of 2026), and the steps are in our guide to getting a marriage license in Berks County.

Mail the invitations no later than six weeks before the date, and ask for RSVPs a month out. Your vendors want their details now too, and each has its own deadline.

  • The music. The Party Express DJs meets couples a month and a half to two months before the reception.
  • The cake. Candy & Confections by Lisa Stoudt in Reading prefers four to six weeks for a wedding cake. Other bakers are on bakeries in Berks County.
  • The venue. Ridgewood Winery in Birdsboro wants the balance a month before. Setter Ridge schedules the rehearsal at least a month prior.

The last two weeks: the final count, the menu and the license window.

Galen Hall in Wernersville confirms the final menu with you no later than 14 days before and wants a guaranteed count seven days before. The guaranteed count is the final head count the venue bills from. Setter Ridge takes its final payment on the day. Check the license too: if the wedding date has moved later than the license's 60 days allow, you apply and pay again.

What to do this month.

Open event venues in Berks County, pick three or four, and ask each which dates it still has for your season. Bring your rough guest count to every venue call.

If your date is less than a year away, an off-peak wedding can be planned in six to nine months. For a summer or fall date inside a year, call every venue on the list and ask which dates it still has, including Fridays and Sundays; Reinhart's prints a Friday rate and Foxglove a Friday-or-Sunday rate apart from its Saturday one. With less than six months, the order on this page doesn't change, only the gaps between the calls: make the venue and photographer calls this week, work down the list as the answers come in, and ask each venue about your month first, since Stone Spring Farms only runs May through October. Every other date on this page counts backward from the date the venue gives you.

The touring bridal shows run from November into June, and none of them stops in Berks County this season; the nearest are about an hour away, and most are free.
