A hotel room block is a set of rooms a hotel holds for your guests at a group rate; the guests book and pay for their own rooms through a link or group code the hotel gives you. A courtesy block costs you nothing and binds you to nothing: the hotel holds the rooms until a cut-off date, usually about 30 days before check-in, then releases the ones nobody booked. A contracted block is one you sign for, promising to fill a share of the rooms, usually 80 to 90 percent, and paying for the shortfall. A hotel usually asks for a contracted block above about 30 rooms.

The hotels in Berks County your guests will use sit in a handful of clusters, and the cluster nearest your venue is the place to start.

How does a hotel room block for a wedding work?

You email the hotel's sales office with the date and a rough room count, and the hotel sets those rooms aside. It sends you a booking link or a group code, you put it on your wedding website, and each guest books and pays for their own room. On a courtesy block you're the organizer, not the payer.

How many rooms before a hotel will set one up? The national wedding guides say most hotels want at least 10 rooms, and some 10 to 15 a night. The brands' own websites show the size a block is expected to be: Hilton's Berks hotels take 10 to 25 rooms online, IHG's (the Holiday Inn company) take up to nine online and ask you to request a proposal for 10 or more, and Wyndham's online booking stops at nine rooms and sends larger groups to a quote request.

When should you do it? Nine to 12 months out and before the save-the-dates go, because guests book travel the day they hear the date; one national planning checklist puts it at nine months, and six is the latest comfortable point, and the Berks County wedding planning timeline shows where it falls.

Courtesy block or contracted block: which one should you ask for?

Ask each hotel for a courtesy block first. The hotel holds a smaller set of rooms, commonly 10 to 25 and typically under 30 by the national guides' count, and if your guests don't fill it, the rooms go back to the hotel on the cut-off date and you owe nothing.

A contracted block is one you sign for, sometimes with a deposit, promising your guests will fill a set share of the rooms, usually 80 to 90 percent. More than about 30 rooms usually means the hotel asks for a contract.

So how many rooms do you need? Count the guests who'll sleep in a hotel, not the whole list, and ask each hotel how many rooms it will hold without a contract: a courtesy block is commonly 10 to 25 rooms, and above about 30 a hotel usually wants a contract. For a contracted block, set the count below what you expect, because you pay for the empties, and ask whether rooms can be added later.

What are attrition and cut-off dates?

Attrition is the share of the block you promised to fill, so an attrition clause is that promise written into the contract. What if your guests book fewer rooms than that? You pay for the gap. If the clause says 80 percent, the other 20 percent is the share you can leave empty without a charge; the allowance to aim for is 10 to 20 percent, so ask for 20. Some contracts also make the hotel try to resell your unused rooms, so you don't pay for the ones it sells.

The cut-off date is the day the hotel releases the rooms nobody booked, usually about 30 days before check-in. After it, guests book at the hotel's regular rate.

Ask every sales office the same list: courtesy or contracted and the rate for each, the minimum stay, the maximum rooms and whether you can add more, the cut-off date, whether there's an attrition clause, and, on a contracted block, how and when you pay. A line for empty rooms belongs in your budget; what a Berks wedding costs, vendor by vendor has the rest of it. A question about what a clause in a contracted block means goes to the hotel's sales office first and, past that, to our guide to finding a lawyer in Berks County.

Which hotels sit near Berks County wedding venues?

Which cluster is yours? Start from the venue you've booked; if you're still choosing, what a wedding venue costs in Berks County covers that side. The hotels sit in a handful of clusters: downtown Reading, the Wyomissing stretch along Paper Mill Road and Park Road, Kutztown, Morgantown, Hamburg and the airport side of Reading. If the reception is at the DoubleTree by Hilton Hotel Reading itself, the rooms are under the same roof: it hosts receptions with four wedding packages, has 209 rooms, and books a block through an online "Reserve a room block" tool.

The Berks hotels' pages carry a booking tool or a request form, not the terms: the rate, the cut-off date and any minimum come from each hotel's sales office. The table is what the hotels' and venues' own pages print.

Hotel cluster and the venues near it What the hotels and venues print about groups and shuttles, as of October 2026
Downtown Reading: DoubleTree by Hilton Hotel Reading, 701 Penn Street (209 rooms, four wedding packages) Its events page has a "Reserve a room block" tool and an attendee website for your guests; Hilton's tool books up to 25 rooms online and more than 25 through the hotel. Near the Inn at Centre Park and the other downtown venues.
Wyomissing and Paper Mill Road: Hampton Inn Reading/Wyomissing, Homewood Suites Reading, Courtyard Reading Wyomissing, Residence Inn Reading, Fairfield Inn & Suites, Holiday Inn Express Wyomissing The two Hilton hotels print "Reserve 10 - 25 rooms instantly online"; Homewood is four miles from downtown Reading. The Fairfield prints "ideal accommodations for out-of-town wedding guests", the Courtyard the same line with sports teams and reunions added, and the Residence Inn "block rooms for your guests".
Kutztown: Hampton Inn & Suites Kutztown, Super 8 Kutztown, Vintner's Inn The Hampton prints "Reserve 10 - 25 rooms instantly online", a local shuttle service, and Folino Estate seven miles away; the Barn at Walnut Grove lists the Hampton, which shuttles to the barn, and the Super 8 for its guests, with a school-bus shuttle to its listed hotels as an option; Folino's Vintner's Inn is seven miles from the winery.
Morgantown: Holiday Inn Morgantown - Reading Area, attached to the Morgantown Event Center (187 rooms) The event center prints "20 minutes from Reading" and points guests to the attached hotel; the hotel sits off turnpike exit 298.
Hamburg and the airport side: Microtel Inn & Suites Hamburg; Holiday Inn Express Reading Airport, Bernville Road Stone Spring Farms, a barn near Hamburg, points its guests to lodging in West Hamburg and Fogelsville; the Microtel is the one hotel the directory lists in Hamburg, beside two bed and breakfasts, and the Holiday Inn Express is a tenth of a mile from Reading Regional Airport.
Inns with rooms of their own: The Inn at Centre Park, Reading; Bally Spring Inn, Barto; Moselem Springs Golf Club, Fleetwood The Inn's weekend wedding includes three overnight suites for Friday and Saturday and it reserves suites for the wedding party and guests; Bally Spring sleeps up to 50 guests in 19 suites; Moselem Springs prints on-site overnight rooms with its micro weddings.

Each cell is what that hotel's or venue's own page prints; the block terms come from the sales office.

The Inn at Centre Park in Reading builds overnight suites for the wedding party into its weekend wedding. A block at a nearby hotel then only has to cover the rest.

Do Berks hotels run wedding shuttles?

A wedding shuttle is usually yours to arrange. Can the venue take it off your plate? Sometimes: the Barn at Walnut Grove in Lenhartsville lists the Hampton Inn & Suites Kutztown as a hotel that shuttles to the barn and offers a school-bus shuttle to the hotels on its vendor list as an additional option.

Of the hotel pages that address a local shuttle, only the Hampton Inn & Suites Kutztown's prints one, so the ride is usually yours to book. Klein Transportation in Douglassville runs school buses and minibuses for wedding shuttles and quotes each trip by the date, the hours and the miles; as of 2026 a $500 deposit per bus per day holds the date and the balance is due 30 days before. Infinity Limousine in Reading takes a $100 deposit for a wedding shuttle.

Frequently asked questions about wedding hotel room blocks.

How many rooms should I block?

Start from the guests who'll need a hotel, split them across the hotels nearest the venue, and keep each block inside what the hotel will hold without a contract. A contracted count sits below what you expect, and if the blocks fill you ask about adding rooms.

What perks can I ask the hotel for?

A hospitality suite, a free or upgraded room for the couple, and early check-in or late check-out. Some hotels will also deliver welcome bags to guests' rooms, sometimes for a fee.

What happens if my guests don't book all the rooms?

On a courtesy block, nothing: the hotel takes the unbooked rooms back on the cut-off date. On a contracted block you pay for the rooms between what your guests booked and the share you promised.

What to do this week to set up your room block.

Before the save-the-dates go out, email every sales office with the date and your room count, ask for a courtesy block, and send the list of questions above. If one answer is a contracted block, compare its room count with the count you worked out before you sign anything. Then put the links and the cut-off date on your wedding website. You'll find the hotels on our hotels in Berks County page and the venues they serve among the event venues in Berks County.
